Several donors, one team, one set of records
An NGO with four grants usually has four budget workbooks, four reporting calendars and four ways of defining an indicator. projectsmanager.ai keeps the plans, spending and results for all of them in one place, and builds each donor's report from the same underlying records.
Where multi-donor reporting goes wrong
Shared costs split by hand
Staff and office costs charged to several grants are allocated in a workbook that only one person understands. When that person leaves, so does the logic.
Budget against actual, late
Variance is discovered when the report is due, not when there is still time to request a budget reallocation from the donor.
Different definitions
Two donors count "people reached" differently. Without a single record of who was reached and how, each report is rebuilt from scratch.
Results without evidence
A reported number of people trained is hard to defend at a donor visit if the attendance lists are in three different folders.

Work plan by grant
Activities tagged to the grant or grants that fund them, with budget and timing.
Budgets against actuals
Spending recorded against budget lines, so variance shows as it happens. A line with nothing recorded says "not recorded", not zero.
Advances
Advances to field offices, staff and sub-grantees, their liquidation status and the receipts behind them.
Results with evidence
Indicators with targets and actuals, each value linked to the evidence that supports it.
Donor reports
Financial reports built from recorded transactions, each line opening to the payments in it. Report formats are partly available.
Approvals and audit trail
Recorded approval steps and a log of every change, which shortens the conversation with your auditor.
Partners and sub-grantees can be given access to their own work only. Donors can be given read-only access. AI assistants answer questions about your records with a citation, or decline when the records do not support an answer.
Start on your own, without a sales call
The NGO plan is self-serve and paid by card through Paddle. Larger programmes and government units are quoted and can be paid by invoice or purchase order.

NGO plan
For organisations running several grants. Sign up and pay by card; no procurement process needed. If a donor requires competitive quotes for software, we can provide a quotation and the documents in our procurement pack.
In development: field monitoring with GPS-tagged photos, a double-entry ledger, procurement method selection and single sign-on. If you rely on one of these, ask us about timing before you buy.
